ServiceNow

This article outlines the steps for exporting Oracle GLAS (Global Licensing and Advisory Services) data from ServiceNow and preparing it for upload to Licenseware. 

The exported data includes detailed insights into Oracle Database, Middleware, Java, virtual machines, and vCenter hardware, all of which Licenseware can analyze to support license compliance and optimization efforts.

Before You Begin

Ensure you have one of the following roles assigned in ServiceNow:

  • admin
  • glas_admin

Steps to Download Oracle GLAS Data

  1. Navigate to:
    All > Oracle GLAS Data Collection > Download GLAS Data Collection

  2. On the Oracle GLAS download page, you can retrieve the following reports:

    • Step 1: Download GLAS Data Collection
      Select Oracle Database, Middleware, or Java data collection options.

    • Step 2: Download vCenter Hardware Information
      Download hardware data relevant to your vCenter environment.

    • Step 3: Download VM Information
      Download virtual machine configuration details.

  3. Select the download icon.

  4. Enter your email address when prompted to receive a notification once the report is ready.

  5. After the report creation message appears, click the provided link to monitor the download job status.

  6. The Oracle GLAS Report Job Log (sn_itom_oracleglas_job_log) opens in a new window. Once the report status changes to Complete, proceed to download.

  7. Open the job log record and go to Manage Attachments, then download your report.

File Outputs by Report Type

Depending on the selected data type, you’ll receive one or more of the following files:

  • Oracle Database
    CSV files including:

    • ORCL_V$SESSION.csv
    • ORCL_OPTIONS.csv
    • ORCL_DBA_USERS.csv
    • ORCL_DETAIL.csv
    • ORCL_V$LICENSE.csv
    • ORCL_OVERVIEW.csv

  • Oracle Middleware

    • ORCL_OVERVIEW.csv
    • Collection-<Server Name>_<Oracle Product>.tar.bz with config file structures

  • Oracle Java

    • A folder containing Java installation details and CPUQ files
    • VM and vCenter hardware information in structured format

Note: You can also navigate to Oracle GLAS Data Collection > Oracle GLAS Data, select the table you wish to download, and choose Download GLAS Report directly.

Uploading to Licenseware

Licenseware supports ingestion of both:

  • The ZIP archive downloaded from ServiceNow
  • The individual CSV files extracted from the report, specifically those for Oracle Database

Simply upload the files to the Licenseware platform. We’ll automatically parse and process the Oracle GLAS data to provide insights into license usage, risk areas, and optimization opportunities.

Troubleshooting Tips

If downloaded files are empty or contain errors, check file sizes to ensure they haven’t exceeded ServiceNow’s set limits. You can review or adjust these by navigating to:
All > System Properties > All Properties
