AI use & data protection
Licenseware uses AI where it helps, and keeps rules-based processing where that is the better fit. AI does not make a binding decision. It recommends. A person reviews the result.
Where AI is used
Section titled “Where AI is used”- Software Inventory Manager adds licensing detail to raw inventory: end-of-support dates, license metrics, public descriptions and categories. It reads the software name, version and vendor. See What SIM does.
- NEO chat answers licensing questions from the product and from contracts you have uploaded in License and Contracts Manager. Contract context is optional. See Ask NEO.
- NEO insights reads processed data and recommends where to rationalize, where to save, and what to fix. It reads the software name, version and vendor. See NEO Reports.
- NEO Support answers questions about using Licenseware by reading this help site. See NEO Support.
Safety layer
Section titled “Safety layer”NEO and the other AI features run on Google Vertex AI.
Every AI request passes through a safety layer. It filters requests that are out of scope, and it screens what you send and what comes back for prompt injection, personal data and malicious links. The safety layer is on by default for every AI request.
How documents are read
Section titled “How documents are read”A document is analyzed only when you ask, in License and Contracts Manager. Customer data and the AI result stay in the platform until you delete them.
AI model intellectual property is owned by the providers that run the models. The results belong to you.
What AI does not decide
Section titled “What AI does not decide”AI does not make a binding or business-critical decision. It gives an insight or a recommendation. Outputs are for a person to review.
